Student Payment & Refund Policy

Terms for Tuition and Fee Transactions

1. General Payment Terms

By using the student payment gateway, you agree to the terms set forth by your educational institution. All tuition, housing, and fee amounts are determined by the institution, not the payment gateway. We facilitate the secure transfer of funds between you (or your sponsor) and the school.

Note on Processing Fees: Depending on your institution's policy, credit/debit card transactions may incur a non-refundable convenience fee. ACH/eCheck payments are typically processed without additional gateway fees.

2. Refund Eligibility & Institutional Policies

Because we act solely as a payment processor for your school, we do not independently approve or issue refunds. Refund eligibility is strictly governed by your institution's academic calendar, including:

  • Course drop/add periods.
  • Official withdrawal deadlines.
  • Financial aid disbursements and overpayments.

To request a refund for dropped classes or overpaid tuition, you must contact your institution's Bursar or Student Accounts office directly.

3. Refund Processing Timelines

Once your educational institution approves and initiates a refund through our system, the processing timeline is as follows:

  • Gateway Processing: We process the institution's refund command immediately upon receipt.
  • Card Refunds: Funds typically return to the original credit/debit card within 5 to 10 business days, depending on your card issuer's policies.
  • ACH/eCheck Refunds: Bank account transfers may take 3 to 7 business days to clear and reflect in your account balance.

4. Failed Payments & Account Holds

If a payment fails due to insufficient funds, invalid account details, or bank declines, your student account may not be credited, which could result in late fees or registration holds applied by your institution.

In the event of a declined card transaction where funds appear to be deducted, this is a temporary authorization hold placed by your bank. The hold will automatically expire and reverse within 3 to 5 business days without requiring a refund request.
